How To: Send Fax via Email using Concord Fax
Sending a Fax
Concord’s Email-to-Fax service allows you to send faxes directly from your DMU email with Microsoft Outlook or Outlook via Office 365.
The email message screen below is an example of how you send a fax using email.
- Add your fax recipient(s) by addressing your email message to: faxnumber@concordsend.com
- For US or Canadian numbers, the address should look like this: 15551236789@concordsend.com.
- For international faxing, enter 011 plus the Country Code, followed by the fax number you are sending to. An example of a fax to the UK looks like this: 01144123456789@concordsend.com.
- Add the documents you wish to fax as standard email attachments. You may attach more than one file and may attach multiple files of varying type. The list of supported file types is below. Note there is a 20MB limit on the total message size of an email sent to the concordsend.com domain.
- Add text to the subject and email body to populate this to a coversheet template, if covers are being added on transmission. Covers can be enabled by account administrators as required.
You can add a Recipient Name to the fax destination number to populate the name to the coversheet, fax header stamp and transmission reports. To add, you insert this prior to the fax number in the email address you send to in the following format: Name <faxnumber@concordsend.com>. An example of a US destination fax with recipient name would be: Jane Smith <15551236789@concordsend.com>. The <> brackets must be included around the fax number.
Attaching Fax Documents
You will need to attach one or more files to send as the fax message. From your email message screen, insert, drag or
attach the document(s) to add to your email, as you would when sending any other email attachments.
The following file types are supported:
- .DOC, DOCX (Microsoft Word) (as shown in the example above)
- .XLS, XLSX (Microsoft Excel)
- .PPT, PPTX (Microsoft PowerPoint)
- .TIF/TIFF (Tagged Image File Format)
- .TXT (Plain Text)
- .HTML (Hypertext Markup Language)
- .RTF (Rich Text Format)
- .PDF (Adobe Portable Document Format)
- .JPG, VSD (Visio and JPEG)
- .GIF (Graphics Interchange Format)
- .PNG (Portable Network Graphics)
Fax Delivery Confirmation
When sending a fax through the concordsend.com domain, you may receive up to two email notifications, depending on how the services has been configured for your account or department. The first is a confirmation that the fax message was received by Concord and has been prepared for delivery and the second notice provides the final delivery status of the fax, success or failure. If a fax fails transmission, a detailed reason is provided to inform the sender as to why the transmission failed.
