Outlook - DMU Email Signature

Step 1: Choose your preferred template from the options
- Find the templates here: https://www.dmu.edu/marketing/brand/templates/
Step 2: Update your chosen template with your information.
- Name
- Job Title and Department
- Phone number
- Email Address

Picture:
- Right-click the placeholder image and select Change Picture to add your photo.
- We suggest a square photo sized to 125x125 pixels in JPEG format.

Step 3: Create a new signature (steps below for Outlook Classic and New Outlook)
Outlook Classic
- Go to File > Options (bottom left) > Mail > Click Signatures (third item, button on the right).
- Click New.
- Name your signature
- Highlight the entire updated signature, including the DMU logo and your photo, and Copy (Ctrl + C).
- In the “Edit signature” window; Paste (Ctrl + V) your signature
- Make any adjustments, and click Save
- Choose your preferred default signature in the drop downs for New messages and/or Replies/forwards
- Click OK
New Outlook
- Click the Settings icon (the gear in the upper right of the title bar)
- In Settings: Go to Accounts > Signatures > Click + New Signature
- Name your signature
- Highlight the entire updated signature, including the DMU logo and your photo, and Copy (Ctrl + C)
- Paste (Ctrl + V) your copied signature into the box
NOTE: Any pictures/graphics will not paste. To fix this: Select your photo from the template and copy it; then paste it directly onto the box where the photo would appear. Repeat this for the DMU logo.
- Choose your preferred default signature in the drop downs for New messages and/or Replies/forwards
- Make any adjustments and click Save when done.
TROUBLESHOOTING
Problem: Unable to change picture or edit text / “change picture” is grayed out.
Solution: The solution depends on what you are seeing at the top of the document window.
Q: Do you see Protected View (Enable Editing)?
A: Click the Enable Editing button.
This will create a temporary copy of the file for you to edit. You can then save this to your computer if you choose.
Q: Do you see Read-Only (Edit Document) or an error prompt?
A: Save the document to your computer so you can edit the information.
- Click the File Menu
- Save As (or Save a Copy)
- Choose a location on your computer and click Save.
