Registration Checklist - Incoming and Returning Students

Incoming and returning students are required to complete a checklist of items on an annual or term basis.  The office of the registrar sends student reminders and monitors completion of the checklists each term.  This article details the contents and management of the registration checklist.  See attached PDF for screen shots of where students access the checklist and checklist contents.


Incoming Student Registration Checklist

Checklist Release:

Applicants in the DO, DPM, DPT, OTD, PA, MSA, MSBS, & PhD programs receive the new student checklist in two phases:

  • Phase I – Opens 90 days prior to the program start date
    • Applicants with a DPINT (deposit paid/intent to enroll) application status receive all sections of the checklist except Registrar and Accounting     
  • Phase II – Opens after the students are registered; 30 days prior to program start date
    • Released to applicants who have been moved-to-student in Colleague and registered for upcoming term
      • Registrar and Accounting sections are released to the student
  • MHA & MPH students receive their initial checklist after registering (checklist opens after an overnight process)


Returning Student Registration Checklist

Checklist Release:

  • After students in the DO, DPM, DPT, OTD, PA programs are block registered by the Office of the Registrar, the term checklist is released
    • Registrar staff notifies ITS after the clinical students have been block registered; ITS opens checklist for each program/class
  • Students in the MSA, MSBS, PhD, MHA & MPH programs self-register 
    • After these students register, an overnight process is triggered and registration checklist is released and available for review
      • When the student completes all checklist items, the checklist automatically closes in a nightly process after all items have been completed
  • Returning student checklists cannot open more than 60 days prior to the term start

Listed below are the checklist contents by department.  How often the individual item on the checklist is required for completion is noted in parenthesis after each item.   The attached file provides screen shots of the checklist contents.

Registration Checklist Review & Delivery Timeline

  • January 
    • Registrar collects checklist updates from the appropriate departments and sends to ITS 
  • February
    • Registrar and ITS test checklist to ensure incoming students will have appropriate access
  • March
    • March 1st – Incoming PA Student Checklist Opens
      • PA applicants with application status of DPINT (deposit paid/intent to enroll) receive Phase I of checklist – checklist does not include Registrar or Business & Finance sections
  • May  
    • May 1st- Incoming Student Checklist
      • PA applicants are moved-to-student and registered – open Phase II of checklist; Incoming PAs now have full checklist
      • DO, DPM, MSA, MSBS, PhD, DPT & OTD applicants with application status of DPINT (deposit paid/intent to enroll) receive Phase I checklist – checklist does not include Registrar or Business & Finance sections
    • Mid-May – Returning Student Checklists
      • Returning Student Checklist for summer terms are released after classes are block registered; Registrar team notifies ITS each time a cohort class is block registered
  • June 
    • Late June – Incoming Student Checklist
    • DO, DPM, MSA, MSBS, PhD, DPT & OTD applicants are moved-to-student and registered – open Phase II of checklist; Incoming DO, DPM, MSA, MSBS, PhD, DPT & OTD now have full checklist
  • June - August
    • June, July, August – returning student checklists
      • Students are block registered for fall term; Registrar team notifies ITS each time a cohort class is block registered
  • October – December
    • Spring term block registration for cohort programs; Registrar team notifies ITS each time a cohort class is block registered
    • Spring term Self-registration for MSA, MSBS, PhD, MHA, MPH
      • Checklist opens the day after the student registers


Checklist Monitoring and Student Reminders


The Office of the Registrar monitors completion of the student registration checklists through two reporting tools:

  1. AgilePoint Registration Status Report - Used to send out email reminders to all students in the selected program/class.  The email to students lists the specific items still outstanding on the student checklist.



    2. PowerBI report - Used to pull completion of checklist by program/class.  This report is located the PowerBI at Home>Legacy>Registrar>Registration Status-AYXX


Important Note:  Both the AgilePoint and PowerBI reports are not available until 60 days prior to the student group term start date.  For example, if the fall term begins on 8/1, these tools are available 60 days prior to 6/1.   Registrar office must request a list of incoming student names, DMU & non-DMU email, to send out welcome email to incoming students as the checklist open 90 days before the term start, prior to the 60 day limit.  Office of the Registrar will manually email the students when Phase I of the checklist.
