Start a Pre-Scheduled Zoom Room Meeting
If you've already scheduled your Zoom meeting and added it to the room calendar, this article explains how to start the Zoom meeting when you're ready. From the tabletop Crestron controller in the meeting room, locate your scheduled meeting in the list of the day's upcoming meetings and click the "Start" button below the meeting name. Note: If the screen is black, first touch the screen once to wake it up and then click the "Start" button as specified above. Your meeting will start, and the room audio and video will also start automatically. If you set your meeting to automatically record to the cloud, the recording will start automatically, as well. You're ready to start your meeting! When you're done with the meeting, click the red "End" button to end the meeting and then confirm by selecting "End Meeting for All". Start an Ad Hoc Zoom Room Meeting
This article explains how to start an ad hoc Zoom Room meeting if you are using an available room for an impromptu meeting or if you need to add a Zoom meeting at the last minute. From the tabletop Crestron controller in the meeting room, click the orange "New Meeting" button. Note: If the screen is black, first touch the screen once to wake it up and then click the "New Meeting" button as specified above. Your meeting will start, and the room audio and video will also start automatically. To invite participants, touch "Invite" from the Crestron controller. Then search for participants by name and touch to select them. Then touch "Invite" from the top-right corner of the screen. If you want to record the meeting, click the "Record" button from the in-meeting controls on the Crestron controller. You'll be prompted to enter your email address. Please enter your full email address [employees as firstname.lastname@dmu.edu] so the recording can be automatically routed to your Panopto folder. When you're done with the meeting, click the red "End" button to end the meeting and then confirm by selecting "End Meeting for All". Start or Join a Zoom Room Meeting Not on the Room Calendar
For prescheduled Zoom meetings, it is recommended you add them to the room calendar ahead of time for the best experience. However, if you need to start or join a prescheduled Zoom meeting that has not been added to a room calendar, keep reading to learn how. From the tabletop Crestron controller in the meeting room, touch the "Join" button. Note: If the screen is black, first touch the screen once to wake it up and then touch the "Join" button as specified above. Type in the Zoom meeting ID for the meeting you want to start or join, and then touch "Join". If the Zoom meeting is hosted by a DMU user, the Zoom meeting will start with the room as a host. However, if the Zoom meeting is hosted by an external (non-DMU) user, you'll join the meeting when the meeting host starts the meeting and admits you. In either case, when the meeting starts, the room audio and video will also start automatically. If it is a DMU-hosted meeting that has been set to automatically record to the cloud, the recording will also start automatically when you join it from the Zoom Room. Share Your Screen to a Meeting Room
Whether you're in a hybrid Zoom meeting or a fully in-person meeting, the steps are the same to share your screen to a meeting room. If any of your meeting participants are remote, join or start the Zoom meeting. Then from the Zoom application on your computer, click "Share Screen" from the Home tab. [Note: You may occasionally be prompted to enter a sharing key, which can be found in the top-right corner of the room display.] Select which application or screen you want to share. [If you aren't prompted to select a window or application to share, your entire screen will be shared by default. [Click here to learn how to change your Zoom settings to show all sharing options if desired.] If you also need to share audio, select the checkbox at the bottom for "Share sound". If you will be sharing a video clip, select the checkbox at the bottom for "Optimize for video clip". Then click the "Share" button from the lower-right corner of the share selection window. You'll see your screen or selected application on the room display. When you're finished sharing, click the red "Stop Share" button from the top of your computer screen. Record a Zoom Room Meeting
If you want to record a meeting in a Zoom Room, you must start a Zoom meeting and record from the Zoom meeting. Join or start the Zoom meeting. Click here to learn how to start a pre-scheduled Zoom Room meeting. Click here to learn how to start an ad hoc Zoom Room meeting. Touch "Record" from the tabletop Crestron controller. If you're in a pre-scheduled Zoom Room meeting, the recording will start automatically. If you're in an ad hoc Zoom Room meeting, you'll first be prompted to enter your email address and then touch OK before recording will begin. The "Record" button will switch to red to indicate the meeting is being recorded and be replaced with a "Stop Recording" label. When you're done recording, either touch "Stop Recording" or end the Zoom meeting for everyone. After processing, the meeting recording can be found in either the meeting host's Panopto folder for a pre-scheduled Zoom Room meeting or the email address you manually entered in step 2 for an ad hoc Zoom Room meeting. Zoom Room In-Meeting Controls and Settings
The controls and settings available from the tabletop Crestron controller during a Zoom Room meeting are very similar to the controls and settings you're already used to during a normal Zoom meeting. As with any other Zoom meeting, hosts and co-hosts will have elevated controls compared to participants. If you start a DMU-hosted Zoom meeting from a Zoom Room, the Zoom Room will automatically be made the host. If you need additional guidance about specific in-meeting controls, keep reading to learn more. Core Controls Mute/Unmute - Touch to switch the room microphones from muted to unmuted, or vice versa. End - Touch to end the meeting, and then choose whether to end the the meeting for everyone or just leave the meeting from the Room without ending it for everyone else. Show All Sharing Options When Sharing to a Zoom Room
By default, your Zoom desktop client will automatically share your whole desktop when you share to a Zoom Room. If desired, you can change your Zoom settings to show you all sharing options if you want to share only a specific file or application. Open your Zoom desktop client and make sure you're signed in. Click your initials or profile picture from the top-right corner and then select Settings. Select Share Screen from the left side menu. Beneath the "When I share directly to a Zoom Room" header, select Show all sharing options.
