Process for Ensuring Zoom One-Touch Join for Learning Studios
Our new campus Learning Studios are capable of one-touch join! If the Zoom meeting for a class session has been prescheduled and set up using the process outlined below, then all you need to do when you walk into the classroom is touch "Join" from the room AV panel to start the selected Zoom meeting. The room audio and video will start automatically. If the Zoom meeting was set up to automatically record to the cloud, the recording will start automatically, as well.
Course assistants should follow this process to ensure faculty can utilize one-touch join in the Learning Studios (also outlined in the graphic below):
- For each course or course section you're responsible for, create a Zoom meeting with a "no fixed time" recurrence.
- Set the meeting to automatically record to the cloud (if recording is needed).
- If desired, add faculty as alternative hosts. [Please note this is not necessary for one-touch join but may be useful in other situations.]
- Leave the Waiting Room disabled/unchecked.
- ITS or Registrar will email course assistants with a link to a shared spreadsheet containing course sections for the upcoming term. Course assistants will add the Zoom links created in step 1 to the shared spreadsheet.
Then the following steps will happen on the back end by ITS and integrations that have been set up, with no need for course assistant intervention:
- The Zoom recurring meeting links added to the spreadsheet will be imported into Coursedog and associated with the corresponding course sections.
- A DMU developed integration will add the recurring Zoom link to all course events as they're copied from Coursedog to Outlook in the rooms specified in the academic schedule.
- Zoom Rooms and Learning Studios utilize the Outlook room calendars, creating the final connection for one-touch join.
Once the above steps are completed, faculty will be able to walk into a Learning Studio for a scheduled class session and see their event on the room AV panel. All they need to do is touch "Join" to launch the Zoom meeting.
