Requesting Urgent Classroom Support
We understand that timing is critical and starting your classes on-time is extremely important. The Urgent Classroom Support request process is designed to provide timely support when AV issues prevent the start of learning. How it Works A shortcut Icon is provided on the desktop of the Room PC that allows that User to request support without calling the Solutions Hub or needing to leave the learning space. There are also QR codes available on the classroom credenza and by touching the "?" in the upper right hand corner of the classroom controller. This shortcut links directly to the Urgent Lecture Hall Service Item in the ITS Service Catalog in FreshService. The user selects the Room and provides a description of the issue. Once the form is complete, clicking the “Place Request” button triggers the support process. Keeping Tabs on Your Request This process generates a FreshService ticket and immediately alerts available DMU technicians via SMS text and phone. Fresh Service will take you to the My Ticket screen where you can see updates to your ticket and provide additional Notes. A responding technician is able to acknowledge the support request and that acknowledgement is visible to the requestor on the My Ticket page. Timeline for Notifications Immediate -> Primary Technicians are notified by SMS and phone After 2 minutes without acknowledgement -> Primary and Secondary technicians are notified by SMS and phone After 3 Minutes without acknowledgement -> Primary, Secondary Technicians are notified by SMS and phone, and IT Support management is notified by SMS. Zoom Mode in Learning Studios and Labs
All of our learning studios and labs are capable of one-touch join for pre-scheduled Zoom meetings. The steps below assume the Zoom meeting has been created and added to the room calendar ahead of time. For more information on this process, reference our Process for Ensuring Zoom One-Touch Join for Learning Studios article. Then to start the Zoom meeting at the appropriate time: Touch the AV panel to start up the system if it's not already on. Or if the previous presenter left the system on a different screen, touch the Home icon from the bottom-left corner of the AV panel. Locate your Zoom meeting in the "Zoom Mode" card and touch the corresponding Join button. The room audio and video will start automatically. If the Zoom meeting was set to automatically record to the cloud, the recording will start automatically, as well. If needed, use the Meeting Controls as you would in any other Zoom meeting: mute/unmute all room microphones in the Zoom meeting, start/stop video to show or hide room camera, start/stop recording to the cloud, and share screen, after selecting a source in the Share card. When you're finished, touch End Meeting from the AV panel. Please also shut down the system by touching the Power button from the top-right corner of the AV panel and confirming Yes when prompted. Share Sources The following sources are available to share in all Learning Studios. Some spaces may also have additional share sources. Room PC - Can share content to the room. Can also be used for Panopto recordings and ad hoc Zoom meetings using the room audio and video. Lectern Laptop - Only for sharing content to the room. Cannot access room audio and video through your laptop, so you must use the room PC for Panopto recordings and ad hoc Zoom meetings. Crestron AirMedia FAQ and Troubleshooting Q: What if my Zoom meeting doesn't show on the upcoming meeting list? A: Open your Outlook calendar and locate the Zoom link/meeting ID (an 11-digit number). Then from the room AV panel, touch Start System from the Zoom Mode card. After the system powers on, touch Join Meeting, type in the 11-digit Zoom meeting ID, and then touch Join. Q: What if I need to change or adjust a camera? A: Scroll to the right to locate the Camera card. You can switch available cameras. Then use the directional pad, zoom controls, and/or presets to adjust the camera. Q: What if I can't hear the microphone? A: First confirm the microphone is turned on and the screen on the microphone lights up. Then check the bottom of the AV panel to make sure Privacy or Mic mute is not active. Check the Audio Levels tab to confirm the microphone is also not muted there, and adjust the volume up as needed. Q: What if my laptop audio or video isn't working? A: Check to make sure the Lectern Laptop is selected as a source. Unplug the HDMI cable from your laptop and plug it back in. Q: What if the sources aren't routing correctly or something else is wrong? A: Touch the power button from the top-right corner of the AV panel and then select Yes to confirm. Give the system a minute to power off, and then touch the AV panel to wake it back up and select Zoom Mode or Flex Mode as usual. Flex Mode in Learning Studios and Labs
Flex Mode for our Learning Studios and Labs allows for basic presentations with no web conferencing, as well as use of Panopto from the Room PC. Click to expand the sections below to learn more. Basic Presentation Learn how to do a basic presentation in our Learning Studios and Labs. Touch the AV panel to start up the system if it's not already on. Or if the previous presenter left the system on a different screen, touch the Home icon from the bottom-left corner of the AV panel. From the "Flex Mode" card, select Start System and wait for the system to power on. To share content with the room, touch the source select field below the display name and then touch a source to select it and route that source to the corresponding display. Additional displays can be found by scrolling to the right. Note: In spaces with multiple displays (E4110, E4118, E4215), if you want to share audio, you must share your content to the center projector. When you're finished, please shut down the system by touching the Power button from the top-right corner of the AV panel and confirming Yes when prompted. Share Sources The following sources are available to share in all Learning Studios. Some spaces may also have additional share sources. Room PC - Can share content to the room. Can also be used for Panopto recordings and ad hoc Zoom meetings using the room audio and video. Lectern Laptop - Only for sharing content to the room. Crestron AirMedia Please note: If you want to record your presentation, we recommend pre-scheduling a Zoom meeting and taking advantage of one-touch join with automatic Zoom cloud recording. Panopto Recordings Panopto - How to Record a Video using Panopto for Windows This guide is intended for instructors that want to record their presentation directly to a specific Panopto folder or D2L course using the Room PC in our Learning Studios and Labs. Start a Recording Open Panopto from the icon on the desktop or taskbar. Sign in using your DMU username and password. Click Sign in. Confirm your settings. Video: Select the room video device, or select None to not record with a camera. Audio: Select the room device and then speak or tap on the mic to see if the audio meter bounces in the recorder. If it does, you’ve selected the correct device. Quality: Standard Capture Computer Audio: Checked Capture PowerPoint: Checked (if recording a PowerPoint) Capture Main Screen: Checked Choose the folder where you would like your recording to be stored. Can’t find your course folder? Look for a folder called Active Courses. It will be grayed out, but you can still click the triangle to see courses inside it. If it’s not under Active Courses it may still need to be provisioned in D2L. If you have time, see the guide on how to provision a D2L course for Panopto. Otherwise, record to your My Folder, but check with your academic assistant or the Solutions Hub afterward to ensure the course was provisioned properly. Once provisioned your recording can be moved from your My Folder to the appropriate course folder. Replace the date and time with the name of the recording. We recommend using the title of the presentation and the name of the presenter. Example: Intro to Med Pharm – Dr. Henry. If you are starting your presentation with a PowerPoint click on the PowerPoint tab. Click Open a Presentation and browse to your PowerPoint. Choose Yes to start your recording when the PowerPoint opens. Otherwise click Record. Give your presentation like normal. Everything you do on the computer will get recorded. Stop a Recording When finished, click on the Panopto icon on the taskbar to pull up the recorder. Click on the Stop button. Check your session name one more time to make sure it is accurate. If not, you may change it here. Click Upload. Your recording will be uploaded to Panopto and available to share or edit within 10-15 minutes, depending on the length of the recording. If you still need help, click here to request assistance with Panopto. FAQ and Troubleshooting Q: What if I can't hear the microphone? Annotation in Learning Studios and Labs
Annotation is available in all Learning Studios and the Clinical Labs. Presenters can annotate content from the room PC and accompanying annotation monitor on the teaching cart. Annotations will be visible on in-room displays and in web conferencing and recordings. Open your PowerPoint or another application with pen support. Remove the pen from the side of the annotation monitor. Hold the pen as you would hold a normal pen or pencil, and then adjust your grip so you don't accidentally press the side buttons. Use the pen tip to write or draw on the annotation monitor. The pen is pressure sensitive, so if you press harder you'll draw thicker, more densely colored lines. To erase individual markings, use the back end of the pen like you would a pencil eraser. Changing Pen Color in PowerPoint If you're presenting from edit mode (the default view when you open PowerPoint), select the Draw tab from the top toolbar to change your pen color. If you're presenting from Slide Show mode (full screen), right-click and go to Pointer Options > Ink Color and select a different color.

Mobile Collaboration Carts for Learning Studios
Mobile collaboration carts can be added to several of our Learning Studios for collaborative small group learning. Each cart is equipped with a large flat panel display and an AirMedia for wireless collaboration. Follow this link for connecting to the AirMedia: https://dmu.freshservice.com/a/solutions/articles/14000044552. In addition, your device can be connected to the cart using the HDMI connection. The carts can be used in a stand alone mode, or connected to compatible Learning Studio AV systems. This allows the presenter to send content to selected carts. Use this link to request the carts: https://dmu.freshservice.com/support/catalog/items/183. Please submit all requests for Mobile Collaboration Carts a minimum of 14 days prior to the date of use. Spaces compatible with Mobile Active Learning Carts: E4110 Learning Studio E4118 Learning Studio E4117 Learning Studio North E4119 Learning Studio South Connecting Collaboration Carts to the AV System Start the AV system from the controller as normal. Once the home page appears, select the icon in the upper left hand corner. Select the carts to receive content. The number of the cart can be found on the screen or on the back. Select "Save and Close". Launch Flex Mode and select the content you would like to send to the carts by proceeding to the farthest card to the right.
