Room Reservations Overview
How do I book a room for my meeting in Outlook? Room reservations for employees will be completed in Outlook using the steps below. For more information, please review our knowledge base article on Making a Room Reservation in Outlook or watch our Room Reservations Video. Go to your Outlook calendar and create a new meeting Find a time that works for you and your meeting participants Use Outlook Room Finder in your meeting window to find an open room Click on location to add to your meeting If desired, Zoom may also be added to your meeting at this time Send the invite! Note: If you frequently make room reservations for someone else and don’t wish to have these events on your personal calendar, please contact the ITS Solutions Hub (solutionshub@dmu.edu) for assistance in becoming an Outlook delegate. What are the rules for room reservations in Outlook? Reservations may only be requested within 90 days of today’s date for learning studios and the private dining rooms. All other meeting rooms may be requested within 365 days of today's date. This includes recurring meetings--reservation acceptance emails will indicate the date range for which your recurring meeting has been approved. (*If you need to request a reservation in a learning studio or private dining room more than 90 days in the future, please contact facilitiesmanagement@dmu.edu.) Reservations may only be requested for 24 hours. (Wellbeing Room reservations have a max duration of 60 mins). Many spaces across campus will require approval for booking (these include learning studios and executive or department conference rooms). You will receive a “Tentative” email confirmation upon request, and then an “Accepted” or “Declined” message once the request has been processed. To learn more about the approvals required, please see our Available Spaces at the DMU Campus knowledge base article. Meetings that are DECLINED, including declined instances of recurring meetings, will still show on your calendar appointment but have not been added to the room calendar. You must manually change the meeting location in your appointment if your request is declined. What if I need additional services? If you would like to request additional services for a room reservation, such as AV support, AV equipment, catering, or room setup, please utilize the Room Reservation Services article for direct links to these items. What if I’m hosting an event and want help getting my reservation(s) setup? The DMU Facilities team will be using Coursedog to manage event requests for internal and external groups. To request a reservation, please utilize our Coursedog Event Request Form (available on Pulse). If you have any questions, please contact the DMU Facilities Team (facilitiesmanagement@dmu.edu). What about student room reservations? DMU students will be able to utilize Outlook to book Wellbeing Rooms. These rooms have a 90-day and 60-minute reservation limit. All student organizations/student-sponsored events requesting meeting space must complete the Event Request form on Anthology. Room Reservation Services
Please click on the icons below to request support or services for your room reservation. Request AV Support Request a technology item for checkout ITS offers a variety of technology equipment for checkout for your meeting or event, including laptops, attendance laptops, and a portable PA system. Submit a work order with Facilities Facilities provides room setup support, as well as any custodial or security needs. How to Make a Room Reservation in Outlook
Room reservations for employees will be completed in Outlook. This article provides details on making a room reservation from the Outlook desktop application for Windows. Open Outlook and navigate to your personal calendar or a group calendar, wherever you want the meeting to live. Create a new meeting ("New Meeting" from the top toolbar). Find a time that works for you and your participants, using the Scheduling Assistant if desired. Click the "Room Finder" button to the right of the Location field. Select the Building, and optionally other filters, to narrow down the room list. Matching rooms will automatically display, along with basic room information and availability for your meeting time. Click to select a desired room that shows as "Available" to add it to the Location field. [Note: Some rooms require approval, which will be indicated by a red X and help text at the top of the meeting window after you add a Location.] If desired, you can also create a Zoom meeting using the Outlook add-in before sending your meeting invite. Click here to learn more. Double-check your meeting details, and click "Send" when you're ready. You'll receive an email when your room request has been approved. [In-policy requests for rooms that don't require approval will be automatically approved. Click here to see a list of new campus rooms and their approval policies.] Helpful Tips The Room Finder will default to recent or frequent Buildings, but you can always manually select a different building. As an alternative to clicking into Room Finder, you can click into the location field to view quick room suggestions. Viewing Room Calendars
Keep reading to learn how to view room calendars from the Outlook desktop application for Windows. Open Outlook and navigate to your personal calendar. From the top toolbar, click "Add Calendar" and then select "From Room List...". Scroll down or search for the room you want. Then double-click your desired room to add it to the "Rooms" selection at the bottom of the window and click "OK". Note: If you're having trouble finding the desired room, change the Search option at the top to "All columns" and try your search again. The selected room calendar will open momentarily beside your personal calendar. If you don't see any meetings on the calendar at first, give it a minute to finish loading. [Note: You may not have permission to open room calendar appointments to view full details, but you can mouse over an appointment to view the full title with date and time.] Helpful Tips After you've opened a room calendar once, it will appear in the left side panel under your "Shared Calendars" list (until you clear out your shared calendars). Just click the room name to select it and open the calendar.

Available Spaces at the DMU Campus
Our DMU Campus at 8025 Grand Ave. in West Des Moines has a wide variety of spaces available. The information below provides you with an overview of approvals and conditions for each room. Reservations may only be requested within 90 days of today’s date for learning studios and the private dining rooms. All other meeting rooms may be requested within 365 days of today's date. This includes recurring meetings--reservation acceptance emails will indicate the date range for which your recurring meeting has been approved. (*If you need to request a reservation in a learning studio or private dining room more than 90 days in the future, please contact facilitiesmanagement@dmu.edu.) For a complete list of hours and quiet spaces, please visit: Facilities Management & Security. Please note: DMU students will be able to utilize Outlook to book Wellbeing Rooms. All student organizations/student-sponsored events requesting meeting space must complete the Event Request form on Anthology. Student leaders who have been trained on the technology in the learning studios are permitted to use the technology for club, organizations, and SGA meetings. Rooms that are open are permitted to be used on a first come first served basis for student study. Students are not able to reserve learning studios, labs, or meeting rooms.
