Download a Zoom Recording
Navigate to the Zoom website and click Recordings from the left side navigation pane. Then click on the meeting you would like to download. Select the Download button to download the default view or select a different download option from the options below.

Zoom Meeting - Additional Share Options
With Zoom client version 5.17 some additional sharing options have been added. These settings are available when you are presenting from your laptop using a webcam. They are not available in our Learning Studios, Labs, or on campus meeting Zoom rooms. While in a meeting, when you click the Share button to pull up the "Select a window or application that you want to share" page, you should now have a Layouts section on the right side of the page. It will default to the standard layout, but there are 3 additional layouts that you can choose from. Two of those layouts also have a wallpaper option that you can change. Layout Options There is a small preview of what each layout looks like, but I'll also provide an image of what the participant view looks like for each layout option: Selecting a layout option that has an additional wallpaper choice will replace the black background with the wallpaper image of your choice: Important Notes: - Keep in mind if you use one of the layouts that put you over the top of your slides, you may unintentionally cover up some of the content on that slide. Students do have the option to move the image around to see behind it. Make sure you design your slides to allow room for your video if you choose one of those layouts. - You may also click on yourself in any of the layouts to resize or move yourself to different parts of the screen. Unfortunately Zoom does not yet allow you to preview your slide, so it could still be difficult to position yourself correctly in a spot that doesn't block your slide content. - Repositioning your video may be useful using the side-by-side layout which allows you to adjust the size and position of both you and the content. Just click on yourself or the content placeholder and drag or stretch into position. Be careful not to change the height/width ratio too much or you may distort the image.

View options within a meeting
While in a meeting there are 4 different view modes to choose from. Each person on the call has control over their own view. To change the view in a meeting, select View and select the view you want to use. Speaker View Speaker view will switch the large video window between who is speaking with 3 or more participants in the meeting. If it is just you and one other participant, your video will be smaller at the top and their video will appear below. Pinning a participant will keep them as the largest video for your view of the meeting, while spotlighting will do the same but for everyone in the meeting. Gallery view Gallery view lets you see thumbnail displays of participants, in a grid pattern, which expands and contracts as participants join and leave the meeting. Depending on your CPU, the desktop client can display up to 25 or 49 participants in a single screen of the Gallery view. If more attendees than are allowed to be displayed are in the meeting, additional pages are created with your max number of thumbnails on each page. Cycle through the pages and view up to 1,000 thumbnails by clicking the right or left arrows in gallery view to display the next page of participants. The order of the videos in Gallery view can also be rearranged to suit your needs, as well as saved for use in later sessions. When in Gallery view and a participant begins speaking, that active speaker is relocated to the current page you are viewing and highlighted, making it easier to recognize who is speaking. This functionality is not possible when using a custom gallery order, as the order will remain in place. Multi-speaker view Multi-speaker view provides meeting participants a more engaging experience, dynamically adapting to current speakers by highlighting and enlarging their video tiles over others, while still providing a view of other participants in a smaller gallery view below. With 4 or fewer participants, gallery view is used instead, but with sufficient participants, up to 4 active speaker(s) will have their video tile enlarged and made the focus of the meeting. Pinning videos is supported with multi-speaker layout, keeping the pinned video in focus, but spotlighting is not supported, as the spotlighted video tile will take control of the video layout for all. Immersive view allows you to recreate the feel of your class or conference room by placing up to 25 video participants onto a single virtual background. Participants are automatically placed onto provided scenes and the host can adjust the arrangements as needed. The host can also use their own custom background for a unique scene. While this does not require use of the Virtual Background feature, it does work best when everyone has this functionality. When screen sharing, the Immersive View ends and is replaced by the shared screen. When sharing stops, the Immersive View begins again with the same positions as before. When used in a webinar, the host and panelists will be placed together onto the virtual background, while attendees view the scene.

How to Customize a Meeting Toolbar
As of Zoom Workplace version 6.0 you may now drag meeting toolbar buttons onto the “More” button to remove them, or drag items out of the “More” button to keep them visible on your toolbar. Note: Any changes you make to your meeting toolbar will carry over to future meetings as well.

Zoom - Known Issue with Recurring Meetings with No Fixed Time
We’ve identified an issue where recurring Zoom meetings with “No Fixed Time” can automatically change to a non-recurring meeting with a fixed time. This can result in the meeting automatically deleting itself 30 days after the fixed time and becoming unavailable. Here are three ways we’ve been able to reproduce this issue that should be avoided: If the Primary Host of the Zoom meeting forwards an appointment from their calendar that contains a Zoom meeting link. Instead, it is recommended you copy and paste the Zoom meeting into an email to invite additional participants to the meeting. If the Primary Host of the Zoom meeting adds a Zoom Meeting link to another calendar event. If the Primary Host of a Zoom meeting opens an appointment on their calendar and makes any changes or chooses “Save and Close” even without making any changes. If any of these situations occur, the Primary Host will need to edit their meeting from the web portal and change it back to Recurring with No Fixed Time.

Zoom - Running More Than 2 Concurrent Zoom Meetings
Our standard Zoom license supports up to two concurrent meetings being active at one time per Primary Host (user who scheduled the meeting). How do I know if I'm about to enter a 3rd concurrent Zoom Session? The Primary Host does not need to be attending either of the meetings for this limitation to occur. If, for example, a Course Assistant creates the Zoom Meeting for two separate sessions that happen at the same time, when users join those meetings, it uses up the Course Assistants concurrent active meetings. If that Course Assistant then initiates a video call with another Zoom user while those two sessions are active, this creates a third concurrent meeting and the individual will be prompted with the message pictured below. If they choose "End other meeting" it will instantly close out of both of the other meetings. How do I request an upgraded license if I need to host more than 2 concurrent Zoom sessions? Process for Reserving a Student Study Space
How Students Can Reserve a Study Space Prerequisite: Ensure you have the Zoom Workplace app installed on the PC, Mac, or Mobile device you want to use to make reservations. Once you have the Zoom Workplace app installed and you’re logged in with your DMU account, there are 2 ways to begin reserving a space. OPTION 1 Open your Zoom Workplace client and select the Workspace Reservation app. Note: If you don’t see it as shown above, select Apps (under More) and open it from the Zoom Apps page. OPTION 2 Scan the QR code located at the study space you want to reserve. From the Workspace Reservations app follow these steps: 1) Select the date and time you want to check for availability of study spaces. Note: You will only be able to select a date or time up to 24 hours in advance and only 4 hours at a time. You will also need to check in within 15 minutes of your reservation time or your reservation will be cancelled automatically. See step 8 for how to check in. 2) Select the location (floor) you want to check for availability. 3) Filter by Assets available at the space. 4) Green spaces on the map indicate a study space is available for your selected date and time. 5) Select an available study space. 6) Verify you’re reserving for the correct date/time, adjust if needed, and click Reserve to confirm your reservation. 7) To view your existing reservations, select My Reservations in the top right corner. From there you can adjust reservations or delete them if the reservation is no longer needed. 8) To keep a reservation, check in within 15 minutes before or after your reservation start time. Failure to do so will cause the system to automatically cancel your reservation and make it available for others to reserve. Transitioning Lectures to Online
On this page: Synchronous - Live Online Lectures Asynchronous - Pre-Recorded Lectures Tips + Lessons Learned Considerations for Remote Recordings SYNCHRONOUS V. ASYNCHRONOUS: As faculty across the country adjust to the sudden move to online teaching during the COVID-19 pandemic, one question keeps coming up: How much of class time should be done live—known as “synchronous” teaching—and how much should be done so that students can do the work at their convenience—or “asynchronous” teaching. Synchronous - Live Online Lectures Synchronous is where the participants can hear, see, and/or interact with each other at the same time and place. This would be most similar to a live “in person” class experience. ITS recommends the use of Zoom for virtual or hybrid academic lectures. The process for facilitating a Zoom online lecture include: Create a Zoom Meeting (all faculty have been provided a Pro Account for meetings with up to 300 participants). Share the Zoom Meeting Link with Students (ITS recommends this be done via the D2L announcements tool on your course homepage). Facilitate the Zoom Meeting. Transfer the Zoom Recording from the “Meeting Recordings” folder to the appropriate course folder in Panopto. Additional Zoom resources: Access the Zoom portal Join a Test Zoom Meeting Access Zoom help documents How to access Zoom Meeting attendance reports Asynchronous - Pre-Recorded Lectures Asynchronous is where learning does not happen at a set time and place. This approach is predicated on instructors creating and/or distributing content (e.g. recorded video lecture, voice overs on PowerPoints, or handouts, etc.) ahead of time and supplementing it with additional elements (e.g. email, discussion boards, texts, assignments, polls, etc.) to achieve class interaction but in a nonparallel fashion. Options for Asynchronous Learning at DMU include: Copy your Panopto recording from last year to this year’s course folder. Create a new Panopto recording from your home, office, or a DMU classroom. Create a voice-over PowerPoint recording and upload it to your Panopto course folder. Tips + Lessons Learned Issues with audio or webcam connectivity are frequently attributed to the use of or switching between multiple audio/video capture applications (i.e. Zoom, Panopto, GotoWebinar, etc.). Your webcam and microphone can only be used by one application at a time. If you’re unable to connect the audio or video, try restarting your computer to sever the connection between the other application. A single user cannot host multiple Zoom meetings at the same time, and having alternative hosts does not get around this issue (it still treats the primary host/the person who scheduled the meeting as the host, even if they don’t join the meeting). If you have enabled both “join before host” and automatic recording for your Zoom meeting, the recording will start as soon as the first person joins, whether that’s the host or a participant. You can edit the recording in Panopto to trim the extra time at the beginning before the meeting actually started. Tutorial for Trimming a Panopto Video. Most home internet connections have significantly slower upload speeds than on campus. Therefore, uploading Panopto videos is very likely to take longer – in some cases, we’re seeing upload times at over an hour for a 30-40 minute recording. When creating Zoom sessions, we recommend that you select “Generate Automatically” to create a unique meeting ID versus distributing your “Personal Meeting ID” to others. (*Please note this is the default for our account when creating a meeting). Distributing your Personal Meeting ID creates the risk that others may enter your meeting erroneously. Several news outlets recently reported on situations where external participants were joining meetings and creating inappropriate situations. Considerations for Remote Recordings Background Noise Background noise is the greatest consideration during these sessions. If you are unable to limit background noise, please consider using a USB Headset. If your external USB Headset is not functioning correctly, please ensure this device has been selected. Use of Video Use of video is encouraged for video creation and for smaller web conferencing sessions. Bandwidth can be an issue with sessions larger than 40. If you’re using video, please ensure your background is free of distractions.
