Show or Edit your Zoom Phone Pin Number
The Zoom Phone Pin number is used to retrieve your Voicemail. Please use the instructions below to find or reset your current pin. In the Zoom desktop application go to the Home Screen. Click the Settings gear in the top right of your app window. In the settings window click Phone on the left menu. Click the link to "access my account online". This will open a browser window and take you directly to the Zoom Phone Settings Page. You may need to Log intoyour DMU Microsoft account if you are not already logged in. Scroll down the page until you find the "Pin Code" section. Click "Show or Edit" to see or change your Pin Code.

Zoom Chat - No Chat Notifications While in Meeting or an Internal Call
Symptom: You find that you are not receiving Chat notifications in Zoom when on a call or in a meeting. Cause: Zoom offers the option to Mute chat notifications while in a meeting or an internal call. While this setting may be useful to allow focus, if your calendar is heavily booked or your work includes lots of internal calls you may never receive chat notifications during your regular business hours. Resolution: To check if this setting is enabled perform the following steps; Open your Zoom client and go to the home Screen. Click the Settings icon at the top right of the home screen. In the settings menu choose chat on the left. Under the chat settings scroll down until you see "Mute chat notifications while I am in a meeting or internal call" Uncheck this setting to be notified of new chats when in meetings or on an internal call. If you decide to uncheck this setting be sure to set your status to "Do no Disturb" prior to presenting from your computer to prevent Chat popups. Zoom Phone - Max Caller Wait Time Until Voicemail
In Zoom, the Maximum wait time until Zoom passes a caller to voicemail is customizable to user preference. By default the Maximum Wait time is set to 30 seconds ( About 8 rings). To reduce or increase the Max wait time follow the below instructions. 1. Go to your profile in Zoom > https://dmuedu.zoom.us 2. Sign in (if needed). 3. On the left side click Phone. 4. Then click Settings. 5. Next Scroll Down to the Call Handling Section and find the Max Wait Time setting. 6. Set your preferred Max Wait Time. This can be a minimum of 15 seconds (about 4 rings) up to 45 seconds (about 12 rings). 7. Click confirm to save the new setting.

Setting Business Hours and Optional Call Handling
With Zoom you can set your regular business hours and have Zoom handle calls differently depending on the time that you receive a call. By default your business hours are set to 24/7. However, these settings can be adjusted within your Settings on our Zoom web portal to provide additional options for Closed Hours. A couple key benefits of setting your business hours include: Automatically forward calls to an external phone number (such as a cell phone) for calls that come in after hours. Set a different voice mail greeting for after hours. To set your business hours, follow these steps: 1. Sign in to the Zoom web portal. 2. In the navigation menu, click Phone. 3. Click the Settings tab. 4. In the Business Hours section, click Edit next to Call Handling. 5. Select Custom Hours. 6. Select the days/hours you work. 7. Click OK when finished. Once the Business Hours have been set, you should now have a Closed Hours section. From there you can set some additional settings that apply only during Closed Hours. During Closed Hours your default Call Handling will be set to not ring the app or any phone. However, this can be changed to enable the option to ring the app after hours, or to forward the call to an after hours phone. 1. To change Closed Hours call handling, go to the Closed Hours section and click Edit next to Call Handling. 2. Enable the Zoom Applications toggle if you would like Closed Hours calls to continue to ring any of your Zoom apps that you are signed into. 3. And/Or add an external phone number that calls can be forwarded to by clicking Add Phone Number. 4. If adding an external phone number, fill out the required information. 5. Click Save. 6. When finished, click Close.

Solution: Voicemail Icon Appears in Zoom Desktop Client but there are no Voicemails in the List
Description of Issue or Error: The Zoom Desktop app says there is an unread voicemail but none are listed. Solution: This occurs when the voicemail is no longer considered recent. The voicemail is available on the Zoom website but does not appear in the desktop app. Use the following steps to resolve this issue. Log into https://dmuedu.zoom.us/signin Click Phone on the left. Click Voicemail at the top. If you do not see any voicemails in the list adjust the date range up to 30 days until you find the voicemail. Click the voicemail to listen and dismiss the flag from your desktop app.

Zoom Update 5.10. 8/1/22: ACTION REQUIRED – Save your app settings
On August 1st, ITS will be deploying a Zoom update to version 5.10.7. This update will be a little more impactful than previous updates due to the need to do a “Clean Install” to fix an issue with missing voicemails in the app that is affecting some users. This “Clean Install” means Zoom will be completely removed from the computer before applying a new fresh install. With this, any custom settings you’ve adjusted within the Zoom app will be lost. It may be worthwhile to go into your Zoom settings and take screenshots of any settings that you may have adjusted, so that you can manually make those changes again after Zoom updates. To access your Zoom app settings, open the Zoom app. Click the profile icon in the top right corner, and then select Settings from the menu. Here are a few potential settings you may need to re-apply: Custom Backgrounds (Under Backgrounds and Settings) – DMU backgrounds will be unaffected, but if you’ve downloaded or created any additional backgrounds those will need to be re-applied after the update. Keyboard Shortcuts (Under Keyboard Shortcuts) – Again, if you have not made any custom changes, you will not need to worry about this. Video and Audio devices (Under Video and Audio respectively) – If you have external webcams or microphones you may need to reselect them as your default device in the Zoom app. If you have concerns about what settings to screen capture, submit a request to the Solutions Hub for assistance prior to the update on August 1st.

How to manually update Zoom on a DMU issued device If you are on a DMU issued device you will not be able to "Check for Updates" from the Zoom client. To update Zoom on a DMU issued device, follow these steps: Note: If you are off campus, you will first need to connect to VPN before you continue. Click on the Windows button in the bottom left corner of your screen and type “Software Center”. Select the Software Center app. On the Applications tab, find the Zoom app and select it. If the button shows Install, click it to install the update. If it shows Uninstall, double check what version of Zoom you have installed (see steps at the top of this article) and if it does not match the version number from the announcement check with the Solutions Hub for assistance. If your version does match the version number mentioned in the announcement then you do not need to do anything further. You may also need to update your Zoom Outlook plugin. How To Turn Off and On Receiving Calls in a Shared Line Group
If you are a member of a shared line Group, you can turn on and off your ability to receive calls for all of your shared line groups in Zoom Settings. You may want to do this if the shared line group primarily rings group phones, you are going to be out of office, or you need to not be disturbed by the shared line calls for a period of time. To turn on or off your shared line group calls. Open your Zoom App and click your profile icon in the top right corner. Select Settings and then select view more settings. This will open a browswer window where you can access additional Zoom settings. Choose Phone on the left Menu Choose Settings from the top Menu. Then Scroll down to Memberships Toggle on or off Receive Calls from Shared Line Groups.

In the To field at the top, enter a name or phone number to search through your contacts directory, or manually enter a phone number. If the recipient is in your contacts directory, the number will be replaced by the contact's name, otherwise, it will remain a phone number. Notes: You can add up to 10 contacts/phone numbers. If the contact has several phone numbers, click the right arrow icon to view and select the number to send SMS to. Enter a message. To send the message, press the Enter key or click the send icon . Carrier Rules and SMS Campaigns In response to text message scams, carriers have imposed strict rules on SMS/MMS messages sent via applications. Zoom is considered an SMS application and is subject to the new carrier rules. All DMU Zoom numbers have been associated with a 10DLC SMS campaign which lets carriers know we are sending legitimate messages. This allows us to enable SMS text messaging in our environment for all staff and faculty with Zoom Phone. What to know when sending SMS messages While SMS Text messaging is available for your convenience, it is not considered a primary and reliable communication method. ITS is unable to guarantee your messages will reach the recipient. Individual carriers decide whether to block your messages. If your number is blocked by one carrier it may not be by others. The first message you send to a new recipient will include the follow language: "For help, reply HELP. To opt out, reply STOP." Any recipient can reply STOP to your messages and your number will be blocked from sending future messages to that recipient A recipient that has replied STOP to your number can then reply START to unblock your messages. Certain message content may be more likely to get your number flagged or blocked. Sending bulk messages or messages to many recipients at once. Sending messages with URLs or weblinks. This is low risk as we have notified carriers that we are likely to include links in our messages. Sending messages that appear to be advertisements or solicitations.
