OverView: Using Microsoft OneDrive as your Personal Drive for Employees
* DMU M Drive transitioned to OneDrive on December 8th of 2022 for all employees. You can view the training session here. Using OneDrive After transitioning to OneDrive for Personal Drive, OneDrive will automatically log you in and be configured based on Policy Settings. If you encounter any issues with OneDrive beginning or logging in at Start Up contact the Solutions Hub. How to Access your OneDrive System Tray - You will find a OneDrive Icon on your System Tray. Clicking this once will show you file sync status and give you access to OneDrive options. Double clicking will open OneDrive in File Explorer. The system Tray Icon will also show if you are logged in or if OneDrive is having an issue. You can read about the various OneDrive icons and their meanings Here. File Explorer- A OneDrive Icon will be available on the quick access menu at the left of your File Explorer Window. OneDrive also allows you to Sync Sharepoint Document Libraries to your PC. They will show as a separate Icon in your File Explorer. Finding your MDrive Data - After transitioning to OneDrive for Personal Drive, Data migrated from your MDrive is available in the MyDMUFiles Folder. This Data was synced automatically for you by ITS. Important Folder Backup - Important Folder Backup is enabled for staff and faculty by DMU Policy. This feature automatically backs up your Desktop, Documents, and Photos folders to OneDrive. Read more about Important Folder Backup Here. Files on Demand - OneDrive Allows you to decide which files and folders are synced locally to your laptop. Files and folders not synced locally are shown as shortcuts to the web. This is a powerful feature that allows you to free up space on your hard drive or to work on files offline and sync them next time you connect. Read more about Files on Demand Here.

OverView: OneDrive Files On Demand
*OneDrive Files on Demand is enabled by DMU Policy. Read More about Files on Demand Here. OneDrive Files On-Demand helps you access all the files in your cloud storage in OneDrive without having to download them and use storage space on your computer. When you turn on Files On-Demand, you’ll still see all your files as online-only files in File Explorer, but they won't take up space. When you’re connected to the Internet, you’ll be able to use the files like every other file on your device. You can also select files and folders to be always available, even if you're offline. OneDrive will download them, and they'll take up space on your PC. Save space with OneDrive With OneDrive Files On-Demand, you can: Save space on your device by making files online only Set files and folders to be always available locally on your device See important information about files, such as whether they are shared See thumbnails of over 300 different file types even if you don’t have the required application installed to open it Your files will have these statuses in File Explorer: A blue cloud icon next to a OneDrive file or folder indicates that the file is only available online. Online-only files don’t take up space on your computer. You see a cloud icon for each online-only file in File Explorer, but the file doesn’t download to your device until you open it. You can’t open online-only files when your device isn’t connected to the Internet. When you open an online-only file, it downloads to your device and becomes a locally available file. You can open a locally available file anytime, even without Internet access. If you need more space, you can change the file back to online only. Just right-click the file and select “Free up space.” With Storage Sense turned on, these files will become online-only files after the time period you've selected. Only files that you mark as "Always keep on this device" have the green circle with the white check mark. These always available files download to your device and take up space, but they’re always there for you even when you’re offline. How to Free up space or have a file always available Right-click a file or folder. Select Always keep on this device or Free up space. Notes: New files or folders created online or on another device appear as online-only to save maximum space. However, if you mark a folder as "Always keep on this device," new files in that folder download to your device as always available files. If a folder is online-only, you can still mark individual files within that folder as always available. Desktop search can search for online-only files by name, but it cannot search the contents within online-only files because they aren't stored on the device. Files with the Cloud Icon cannot be uploaded to a webpage or other service. You must first open the file or set it to be always available on the device. Green check or White check files can be uploaded.

Overview: Important Folder Backup
*Important Folder Backup is enabled by default DMU Computer Policy for staff and faculty. Important Folder Backup OneDrive Important Folder Backup Automatically backs up your Desktop, Documents, and Pictures from your laptop to OneDrive. Files and folders contained in these locations will act just like any other items in your OneDrive. Known Folder files can be managed like any other file in OneDrive with Files on Demand or File Restore.

How to: Setup OneDrive for Your DMU Account for Students
This document will walk you through steps to setup the OneDrive app for use with your DMU Office 365 account on a non-DMU joined Windows 10 and Mac OSX laptop. Windows 10: OneDrive can be downloaded with the Office 365 Pro Plus installer (https://login.microsoftonline.com) 1. Click START and type OneDrive and press Enter 2. Enter your DMU UPN and password Student: [username]@student.dmu.edu 3. Click Sign In 4. Click Next (A quick-start guide will pop-up on the screen.) 5. Continue through it by clicking on the [ > ] on the right-hand side. 6. Once complete, click the Open OneDrive Folder icon. You will see the OneDrive – Des Moines University folder show up in Windows Explorer. You can drag and drop files into the folder to sync with OneDrive. Mac OSX: OneDrive can be downloaded with the Office 365 Pro Plus installer (https://login.microsoftonline.com) 1. Search for OneDrive and open the app from Spotlight It will not open an application from the dock, but you will see the OneDrive icon in the menu bar. 2. Click on OneDrive menu and then click Sign In. 3. Sign in with your DMU UPN name and password Student: [username]@student.dmu.edu A small setup screen will show up. 4. Click Next > Next > Open My Des Moines University Folder You will then have the OneDrive folder showing as a location on your Mac. You can drag and drop files here to sync them to OneDrive.

How to: Share a OneDrive Folder Link
This article will explain the process for creating a folder in OneDrive and how to get a shareable link that can be sent to others at DMU to collect files. Please note this does require the recipients to have a DMU account in order to access the folder and upload files. To Create and Share a folder follow these steps: Sign into www.office365.com with your DMU credentials. Click the 9 dots in the top left corner and select OneDrive. If you don’t already have a folder created, select “New” at the top, and choose folder. Click the share button next to the folder you created. Click the drop-down menu for “People you specify can edit”. Select People in Des Moines University with the Link, and ensure "Can edit” is selected from the dropdown menu. Click Apply. Then click Copy under the "Copy link" section to get a link that you can email to everyone you want to collect photos from.

How to: Save Office 365 files directly to OneDrive
This article will explain the process for saving Office 365 files directly to your OneDrive. 1) From any Office 365 product (PowerPoint, Word, Excel, etc.) select File from the menu in the top left corner. 2) Click Save or Save As. 3) Select your OneDrive - Des Moines University. 4) Name the file and select the file type. 5) If you want to put the file in a specific folder in your OneDrive, click the folder and select the new location. 6) Click Save.
