DMU User ID and Email Address
Your DMU User ID is the username for your DMU account. Your DMU User ID is automatically created by Information Technology Services using a combination of your first, sometimes middle, and last name or initials. In cases where many people have similar names and initials, your DMU User ID may also include a number. Multi-Factor Authentication – Setup and Configure
Multi-Factor Authentication or MFA is an authentication method in which a computer user is granted access only after successfully presenting two or more pieces of evidence to an authentication mechanism. In this case, it is something you know like your password and something you have, a multifactor code. How it works: Once enabled Microsoft 365 will now require a second factor for authentication when not on campus. This is a way for us to protect your Microsoft 365 account and prevent unauthorized intrusions. This is only for off campus access; if you are on campus, you will not be prompted for the second factor. The setup is simple, you configure your options on how you would like to receive your Multi-Factor Authentication. Your options are mobile phone, office phone, text or authenticator app. The authenticator app can be installed on a smart phone and is highly recommended as it is much easier to just hit approve when signing in. To install the smart phone app, go to your mobile app store and search for “Microsoft Authenticator”. You can find authenticator app directions later in this document. Configure your MFA notification options Using the link below you will be asked a set of questions on how you would like to be notified for two-step verification. The setup will guide you through the steps. Please follow the link: https://aka.ms/mfasetup. When clicking the link, you will be taken to an Office365 MFA setup page that looks like this: First select your preferred option for how you would like to be notified from the drop down. Your options will be: • Call to Authentication Phone • Text to Phone • Call to Office Phone • Notification through mobile app • Verification code from mobile app or hardware token Next, you will be asked to verify your choice. The screenshot below shows what happens if you chose the authentication phone option. The system calls you to verify. If you choose the app you will need to create the account and respond to any prompts from the app. Once you have completed the setup you will be taken to an additional security verification page. You are now done, and two-step verification is ready to be enabled for your account. You may also close the additional security verification page, but you can always come back to this page to change your settings. Configure Microsoft Authenticator Mobile App Install the app The Microsoft Authenticator app is available for Android, iOS, and Windows Phone. To get the best experience, you should let the app get notifications when you're asked. Add accounts to the app You can add work, school accounts or personal accounts to the Microsoft Authenticator app. Add your DMU account 1. Navigate to the https://aka.ms/mfasetup page. You may likely still be on this page from your initial setup. 2. Check the box next to Authenticator app, and then select Configure. The Configure mobile app screen appears with a QR code for you to scan with the Authenticator app. 3. Open the Microsoft Authenticator app. On the Accounts screen, select Add account, and then select Work or school account. 4. Use your device's camera to scan the QR code, and then select Done to close the QR code screen. The Accounts screen of the app shows you your account name and a six-digit verification code. For additional security, the verification code changes every 30 seconds preventing you from using the same code twice. Once completed the Authenticator app is linked to your Microsoft 365 account.

Multi-Factor Authentication - Troubleshooting
Troubleshooting steps for Multi-Factor Authentication issues. Multi-Factor Authentication will be referred to as MFA below. Issue: Cannot login while off campus and have not completed MFA setup If MFA security is enabled on your account, and you have not completed the MFA setup, you will not be able to access resources while off campus. To Resolve: 1. You must return to campus and setup the MFA. https://aka.ms/mfasetup 2. The Solutions Hub has to disable MFA security temporarily to do the setup from off campus. Issue: I got a new phone, the Authenticator App is not available. If you have the authenticator app setup for notifications or codes for MFA and get a new phone, you will need to setup the app again. To setup the app you will need to use the QR code from the MFA Setup page, but you have no app, to get a code or notification to login. To Resolve: 1. Use the Sign in another way option (see below) on the MFA sign in screen. You should have an option to receive a text message. 2. The Solutions Hub has to disable MFA security temporarily to do the setup again. Issue: New cell phone number or My phone is broken/not available. If you get a new phone number or your phone is lost/broken or otherwise not available to get the MFA verification. To Resolve: 1. The Solutions Hub will need to work with you to disable MFA security for your account. Sign in another way options:

Multi-Factor Authentication - Setup Authenticator App on New Phone
Microsoft Authenticator information will not transfer to a new phone. If you get a new phone you will need to complete the full enrollment process to set it up as an authentication device. The below steps will walk you through setting up the Microsoft Authenticator App on a new phone and enrolling it as an authentication device. These steps are used if: You have MFA (Multi-Factor Authentication) setup on your account You use the Authenticator App as your primary MFA validation (notification or code). You are using the same phone number, and have set text messaging up as a backup authentication method. Other Important Information: If you are not using the same phone number, you will need to contact the Solutions Hub for assistance. MFA resets cannot be performed by the Solutions Hub on weekends and Holidays. You can perform the below steps yourself by first coming to campus and connecting to the DMU WiFi network. 1. Go to https://aka.ms/mfasetup 2. Login using your DMU credentials 3. When prompted for the MFA verification; Choose the "Sign in another way" option 4. Choose either a Text Message or Phone Call option (text message option shown) 5. Enter the text code (or respond to the phone call) 6. Click the Setup Authenticator App button 7. Follow the steps on the next screen (see screenshot) to scan the QR Code. 8. Click Next to Verify.

How To: Locate your Student ID
As a student you may need your Student ID to complete certain forms. To locate your student ID. Existing student Log In to Pulse On the navigation menu select "My Academic Info" This will take you to student Self-Service. Your Student ID will show in your profile. Incoming Students As an incoming student the "My Academic Info" link will not show on your Pulse navigation. Go to this Link "https://selfservice.dmu.edu/Student/Account/Login" Login with your UPN (if prompted) Click User Options > User Profile from the left menu Locate Student Name and find your ID number (7 digits, starts with a leading 0) If you still have difficulty locating your Student ID, contact the registrar at "registrar@dmu.edu"

How To: International Access & Ensuring You Can Access Your DMU Account When Traveling Abroad
Staff and Students are able to access their DMU accounts from most places internationally. When doing so, the standard Multi-Factor Authentication rules will apply so make sure you have an authentication method set up on the phone or mobile device you will be traveling with. Restrictions: There are several countries that have restrictions in place to prevent access. Those countries are: China Indonesia Iran Nigeria North Korea Russia South Africa Vietnam Exceptions: Students and Staff can be granted exceptions if traveling to these countries. If you are going to or have students going to a country on the restricted list, please notify the Solutions Hub. Provide the name(s), location(s), and time frame. VPN: DMU cannot guarantee that our VPN will be accessible for Staff/Faculty when traveling abroad. VPN access may be blocked by an internet provider or even the government of the country you are visiting. If you encounter issues connecting to the VPN please contact the Solutions Hub and we will do our best to troubleshoot the issue. Post Graduation Accounts and Access
Account Deactivation: Effective June 30th of the following year of graduation student University accounts will be deactivated. At that time, all access to DMU resources using University accounts will end. This includes, but is not limited to, DMU email addresses and mailboxes, Pulse, and items listed below: End of Access to DMU Electronic Resources: Campus printer and printing accounts. At that time all remaining balances will be forfeit. Office 365 licenses for Office applications (web and desktop). Access to student OneDrive storage. (all data stored will be inaccessible). Access to the DMU provided student wifi network. Access to Pulse, Colleague Self Service, and other administrative websites. What to Expect: Student accounts will continue to use the same login format [username]@student.dmu.edu or [username]@dmu.edu. Reminder emails will be sent in the month(s) prior to deactivation. Frequently Asked Questions: I have important emails in my DMU mailbox, what do I need to do to keep them? A couple common options are: You can forward them to a personal mailbox Export/Save them to PDFs I have accounts with companies or services that use my DMU email address as the login. What should I do? Login to each service and see if changing your email account is an option. If you have trouble you will need to contact their support for assistance. I have files/notebooks in OneDrive. How can I export them? It is important that you export or copy any files and notebooks you have saved to OneDrive for Business through Des Moines University before your account is deactivated. Until then you can use the storage as normal. There are a few ways to export or migrate your OneDrive contents. Refer to Student OneDrive Export Options in the attached graduation packet (updated for 2024). Will I continue to have access to Library resources? The Library has stated that Alumni do not have access to any electronic Library resources and/or databases. Any questions regarding Library resources should be directed to the Library at Library@dmu.edu. Will I still be able to obtain my 1098T or other tax forms? Your account will still be active by the time you need your 1098 Tax form. You can the obtain the form in Colleague Self Service. Go to Pulse (pulse.dmu.edu) > click Quick Links > then Colleague Self Service. Questions regarding tax forms can be directed to the Accounting department (515) 271-1473. How can I obtain transcripts or letters of recommendations if I do not have access to my DMU email address or Pulse? You can place transcript or letter of recommendation requests from the Registrar’s website – www.dmu.edu/Registrar.
